7 Tips for finding the best shooting studio

1. Comfort

The first thing to look for when renting a photography shooting studio is that it should have amenities that will allow for seamless and comfortable shooting. This is especially important if the photo/video shoot will spend a few hours or days. Make sure to check for the following:

  • Fully air-conditioned
  • Tables and chairs
  • A supply of drinking water or drinking water dispenser
  • Private restrooms
  • Private makeup and changing area

2. Space

Not all photo/video shoots are the same and require different supplementary tools. Some sessions will do fine with limited space, however, the more equipment, props, costumes, crew members or larger set build you have, you would need to take adequate square footage into account. Ideally, your shooting studio rental should have ample space for the actual shooting, for the storage of items and equipment, and for having a comfortable waiting or break area especially when you have to practice social distancing for the current situation. Metal Bees will certainly be the right choice as all our studios are spacious enough to cater to all mentioned above.

Brick Studio 3,760 sqft

ROM 8 Studio 2,883 sqft

The Raw Studio 4,038 sqft

Besides, if you are planning for vehicle shooting, the access of the vehicle into the venue has to take into consideration. All Metal Bees studios are accessible by car, and perfect for car shooting.

3. The Height of the Ceiling

An ideal shooting studio should have a ceiling height of around or more than 10 feet. This allows for your equipment, set build and/or backdrops to be set up properly. Lower ceilings are also known to cause issues with lighting which is why they need to be avoided. Additionally, higher ceilings allow more space for creative freedom too. All the studios in Metal Bees – The Raw Studio, Brick Studio and ROM 8 Studio have a ceiling height of at least 12 feet and up to 23 feet.

4. Shooting Equipment rental

As you look for a shooting studio in Kuala Lumpur / Selangor, you might notice that some photography studios do provide technical gear. The prices for renting equipment may also vary per venue. Therefore, you can start to identify what equipment you would need and coordinate with the potential event space rental to see if they are able to provide them. In Metal Bees, we are happy to take care of everything for you. In addition to our in-house production equipment, Metal Bees are able to liaise with various rental houses to arrange deliveries and returns.

5. To avoid Daylight

Too much daylight in the studio should be avoided; in fact, some shooting studios are completely windowless. This helps to keep the lighting as consistent as possible no matter what time of the day it is. In Metal Bees, we provide windowless and cyclorama wall studios in The Raw studio.

6. Privacy

A good shooting studio should have a completely close off area that only you and your crew can access and see, especially when you are doing the commercial shoots. To avoid any distractions, it would be a plus if the restrooms are within this area in case you are using them as change rooms. Metal Bees provide different studios with separate entrances and access. All the studios in The Raw Studio, ROM 8 Studio and Brick studio provide private make-up room, restroom, and pantry area.

7. Accessibility

Video/photoshoots are usually team endeavors. Therefore, it is important to choose a location that is easy to find and access via car or public transport. Renting an accessible shooting studio helps everyone to easily arrive at the location on time. Metal Bees Studios are conveniently located 20 minutes drive from Kuala Lumpur, the nearest MRT station is the Surian Station which is only a 3-minute drive away.

Why More Couples Prefer a Simple ROM Ceremony Today

This shift reflects changing values: from tradition and display to meaning and presence.

In this article, we explore the key reasons behind the growing popularity of simple ROM ceremonies, and what couples should look for when choosing a venue.

Key reasons simple ROM ceremonies are becoming the new trend

Rising wedding costs make simplicity appealing

Weddings in Malaysia have become significantly expensive over the past few years. According to a recent report citing a professor from Universiti Malaysia Kelantan (UMK), typical wedding expenses now range between RM50,000 and RM200,000 in Malaysia, putting them among the costliest in ASEAN.

Faced with such a huge number, many couples are rethinking whether a lavish banquet is worth the financial burden. Indeed, another study by Future Studies Berhad found that 45.8 per cent of respondents admitted borrowing money for wedding expenses.

For couples who value long-term stability over one-day glamour, a modest ROM ceremony isn’t a compromise. It’s a conscious decision to start their marriage lighter and wiser.

The shift toward intimacy and meaningful celebrations

Beyond financial factors, younger Malaysian couples are increasingly prioritising intimacy and authenticity when it comes to celebrating their marriage. A smaller guest list allows for genuine interaction. In a massive hall, the bride and groom often spend the night rushing from table to table, barely speaking to anyone.

This shift highlights a growing belief that a wedding should feel deeply intentional, filled with real connection. With a focused guest list of family and close friends, the couple can actually be present. The atmosphere shifts from a performance to a gathering, making the event far more meaningful for everyone involved.

Less stress, more presence

Planning a large-scale wedding is a logistical nightmare that often leads to burnout before the big day arrives.

Large weddings require managing multiple vendors, including catering, decor, photography, and entertainment. Unfortunately, coordinating all these elements can quickly become a massive undertaking. The stress of planning, scheduling, and managing guest expectations often overshadows what the wedding is for: two people committing to a lifetime together.

In contrast, a ROM-focused celebration reduces complexity. There are fewer vendors to manage, fewer dietary requirements to track, and fewer timelines to coordinate. This allows the couple to enjoy the process rather than dreading the logistics.

A canvas for personalization and tradition redefined

Choosing a simpler ceremony doesn’t mean sacrificing meaning. A clean, minimal venue offers a blank canvas for couples to personalise traditions, add symbolic rituals, or include meaningful touches, letting their story shine more authentically than grand backdrops ever could.

What to look for when choosing a venue for a ROM ceremony

Right size and layout flexibility

When leaning toward a simple ROM format, couples often prioritise practicality and flexibility. Couples opting for simple ceremonies usually don’t need massive halls. They prefer a venue that supports different layouts, such as theatre, banquet, or cocktail style. This adaptability allows them to tailor the atmosphere to the event, seamlessly supporting an intimate vow exchange, a sit-down dinner, or a relaxed social gathering.

Spaces like Metal Bees’ Brick Studio, ROM 8 Studio, and Edenmill reflect this versatility. Brick Studio offers an indoor-outdoor flow with a minimalist charm, while ROM 8 Studio and Edenmill provide flexible hall layouts that can be set up for round-table seating, theatre arrangements, or relaxed cocktail gatherings.

The key is to choose a space that aligns with your guest list size and the overall atmosphere you want to create.

Built-in amenities for convenience

When you simplify the event, you also want the venue to carry some of the load. Sound systems, basic lighting, a projector, a screen and comfortable seating, all of these in-house facilities reduce the need to hire external vendors and make the planning smoother.

Transparent pricing and value packages

Given that many weddings in Malaysia run into RM50,000+, transparency helps couples stay within budget. Venues offering straightforward packages help manage expectations and avoid hidden costs, which is a big plus for ROM ceremonies that favour predictability and simplicity.

Accessible location & easy guest logistics

A centrally located venue (easy to reach, with car-parking or public transport access) can make the day easier for both couples and guests, especially when the guest list is small and intimate. In short, the ideal venue supports the ceremony’s intention rather than overshadowing it.

Keep it simple, choose your ROM venue smart

A simple ROM ceremony isn’t about cutting back. It’s about focusing on what truly matters, including intention, intimacy, presence, and authenticity. For many modern couples in Malaysia, the appeal lies in striking a balance between celebrating love, keeping financial and emotional well-being in view.

Your venue choice defines the mood of your ROM. Opt for a place that values flexibility. This ensures your day remains focused on you and your loved ones, not logistics or social pressure.

If you’re exploring suitable venues in Petaling Jaya that offer flexibility and essential amenities for a simple ROM or intimate celebration, Metal Bees Events Space is worth considering. Feel free to reach out to our team for more information or inquiries about the available wedding halls.

FAQs on Planning a Simple and Meaningful ROM Ceremony

The Ultimate Checklist for Planning Any Event

Start by defining purpose, Goals, and Audience

Get clear on why you’re holding the event and what success looks like. Is it a corporate gathering, a launch, a celebration, or a wedding? A clear purpose helps steer all subsequent decisions, including budget, agenda, venue choice, and guest list.

Next, identify your target audience: their background, age range, interests, professional roles or relationships to the event. Organizers who deeply understand their audience often produce more engaging and relevant events. Research shows 49% of marketers consider audience engagement the most critical factor for event success.

Set Budget, Timeline and Assign Roles

No event succeeds without financial and time planning. Begin by drafting a realistic budget that covers all major cost categories: venue rental, catering, A/V and technical support, decoration, guest registration or invitations, contingency costs, and optional extras. This breakdown helps you see where your funds are going and what needs early commitment. 78% of planners cite budget constraints as the biggest challenge.

Meanwhile, choose your dates early to avoid peak seasons if possible as demand tends to push up venue and vendor pricing drastically. Assign clear responsibilities, such as who handles venue, catering, guest communication, and on-site logistics. Clear delegation helps avoid confusion and ensures nothing is overlooked.

Choose the right venue — location, layout & amenities matter

The choice of venue can significantly influence attendees’ overall experience. Here’s what to check when selecting:

  • Capacity & layout flexibility: Make sure the space fits your guest list comfortably, and supports different layouts (theatre, banquet, cocktail, mingle etc.) depending on the event format.
  • Built-in amenities: A venue that already offers sound/PA system, basic lighting, projector/screen help to reduce the need to rent additional equipment and simplify logistics.
  • Transparent, all-in-one packages: Venues with bundled packages (space + basic amenities + seating) help planners avoid hidden extra costs.
  • Accessibility & guest convenience: Ensure easy transport access and parking options for your attendees. This guarantees a smooth guest arrival and departure, especially for bigger events or guests from different areas.
  • Venue ambiance & flexibility for styling: A venue with clean lines and neutral interiors gives you flexibility. This allows you to achieve your desired look without needing heavy decor expenses.

These checks ensure the venue is a partner in your event success, not a variable that complicates everything.

Build a detailed vendor & services plan

Once the venue is confirmed, it’s time to lock in your vendors and services. This should include:

  • Catering / F&B: Confirm menu, dietary restrictions, cultural or religious needs, servings per head, timing (meals, snacks, breaks). Good catering often plays a major role in guest satisfaction and overall experience.
  • Decor & styling: Confirm table settings, lighting ambience, signage, etc.
  • Entertainment / programme flow: If there’s speeches, live music, presentations, or interactive segments, make sure to schedule them clearly.
  • Logistics & guest flow: Seating arrangements, crowd flow, guest registration, arrival/departure plans. Good logistic planning often distinguishes memorable events from chaotic ones.
  • Contingency & backup plan: Always allocate a buffer for unexpected costs or last-minute changes. This is especially important for events involving external vendors or higher guest counts. Having backup options or flexible plans helps mitigate risks and keep things under control.

Timing & pre-event scheduling — set the timeline early

A successful event relies on good timing. For medium-to-large events, start planning 4–6 months ahead; 2–3 months may suffice for smaller events, so you have time to:

  • Fix venue and vendors
  • Confirm guest list
  • Design decor / theme
  • Send invites / RSVPs
  • Prepare run sheet / programme flow
  • Finalise seating / layout / guest logistics

Budget management — allocate smartly and monitor expenses

Get multiple quotations for major items like the venue, catering, and decor to compare costs fairly. You should also keep a budget spreadsheet to monitor your actual spending against your estimates. This simple habit helps you avoid overspending. It also highlights exactly where you can make savings.

On the day — coordination & guest experience

On the event day itself, ensure:

  • Setup starts early (venue layout, seating, lighting/AV check)
  • Designated team/person coordinates vendors (catering, seating, décor, sound)
  • Guest flow is clear: registration, entry, seating, transitions, exit
  • Backup plan is ready (for delays, extra guests, cancellations, technical issues)
  • Guest comfort: signage, clear directions, proper lighting/sound, waste management

A well-organized venue and a coordinated team make the day smooth, memorable and stress-free.

Think holistically, plan intentionally

Turning an event idea into reality doesn’t have to be chaotic. With a clear purpose, structured checklist, smart budget allocation and the right venue, you can create memorable experiences that balance quality, emotion, and practicality.

Take a look at venues in KL and PJ that offer amenable layouts and modern facilities. Metal Bees Events Space is a versatile event venue in PJ that works perfectly for weddings, dinners, and corporate events.

FAQs to Guide Your Event Planning Process

Affordable Event Spaces in Klang Valley (Under RM30k)

According to the Department of Statistics Malaysia (DOSM), the Consumer Price Index (CPI) for “Restaurants & Hotels” has seen a consistent increase, indicating that hosting events is objectively more costly now than it was two years ago.

To avoid overspending, the search for an affordable event space that doesn’t look “cheap” is critical. This is where the shift toward industrial studios is changing the game. By moving away from rigid hotel structures, hosts can bypass the steep service taxes and markup fees associated with traditional hospitality groups.

Why Industrial Studios Are Often the “Best Venue” Choice

When industry insiders are asked to name a recommended venue for modern events, they often point toward industrial studios. The primary reason is flexibility.

Traditional hotels often lock you into expensive catering and decor packages with high markups. A rental studio, however, acts as a shell, you pay for the space and bring in your own vendors.

This “blank canvas” approach allows you to allocate funds where they matter most. Instead of paying for hotel carpet you hate, you can spend on better food or entertainment.

Furthermore, the architectural character of these buildings, such as exposed brick, steel beams, and high ceilings provide natural decor. Local market data indicates that decoration typically accounts for 5 to 10% of a total wedding budget, but industrial venues can significantly lower this cost due to their inherent aesthetic appeal.

What to Look For in an Affordable Venue

Many venues claim to be “affordable” but hit you with hidden fees later. If you are looking for a truly high-value deal, you should look for a comprehensive package in the RM 26,000 to RM 27,000 range.

A highly recommended venue package at this price point should not just be an empty room. To ensure you are getting your money’s worth, check that the rate includes the following essentials:

  • Full Venue Rental: Exclusive access to the studio (not shared with other events).
  • Essential Furniture: Inclusion of banquet tables and Chiavari chairs (this alone saves you thousands in external rental fees).
  • Professional AV Equipment: High-definition projectors, LED screens, and a professional sound system should be standard.
  • Transparent Pricing & Packages: Clear, all-inclusive pricing ensures you won’t encounter hidden fees, helping you manage your budget effectively.
  • Manpower Support: A dedicated coordinator, cleaning crew, and valet services for your guests.
  • Basic Styling: Some level of ambient lighting or basic decor to set the mood.
  • Capacity & Layout Flexibility: The space should comfortably accommodate your guest list and support multiple layouts, such as theatre-style seating for presentations, banquet-style dining, or cocktail setups for mingling.

If a venue offers all of the above within that RM 26–27k bracket, it is genuinely a bargain compared to empty halls that charge for every single add-on.

Hidden Costs to Watch Out For

When comparing rates, be wary of spaces that advertise a suspiciously low base price. Often, these options end up costing more due to non-inclusive fees.

Service Tax vs. Service Charge: The “Double Tax” Trap

As of March 2024, the Service Tax (SST) in Malaysia has increased from 6% to 8%. While this applies to many sectors, independent venue rentals often have different structuring compared to 5-star hotels that also charge a mandatory 10% service charge on top of the tax. Choosing an independent venue often saves you this immediate 10% cost.

Other Common Surcharges

  • Cleaning & Waste Disposal Fees: Some halls charge extra per bag of trash. The best venue providers usually include cleaning in the flat rate.
  • Overtime Surcharges: Hotels often charge steep hourly rates if your event runs 15 minutes late. Always check the “load-out” time policy.
  • Vendor Royalties: Many places charge a “corkage” or “handling fee” if you bring your own caterer. A recommended venue will usually have an open policy that supports your choice of vendors without penalty.

Tips to Stay Within Budget

  • Limit your guest list to reduce per-head costs.
  • Choose weekday or off-peak dates to take advantage of lower venue rates.
  • Confirming exactly what’s included in the venue package, seating, AV, and basic facilities can save thousands.
  • Leverage neutral venue interiors for cost-effective decor and styling.
  • Plan catering and optional services carefully to avoid overspending.

Why Affordable Doesn’t Mean Compromise

With thoughtful planning, an affordable space can provide a smooth, enjoyable, and memorable experience. You do not need to spend a fortune to host a memorable event. By focusing on flexibility, inclusive packages, and transparent pricing, you can find a space that delivers premium value.

If you are looking for a space that fits this exact description, a stylish, fully equipped venue with packages sitting comfortably in the RM 26,000 to RM 27,000 range, Metal Bees in Sunway Damansara is a prime example.

With versatile studios like the Edenmill, Brick Studio and Rom 8, our spaces provide layout flexibility, built-in amenities, and easy accessibility, making them a practical choice for weddings, corporate dinners, and private celebrations.

FAQs on Choosing Budget-Friendly Event Spaces

6 Tips To Choose The Best Event Space Rental

Location of Event Space

You’ve probably already considered this. The venue location is one of the most important parts of planning an event. A good venue should have public transports, and a parking space nearby. For a local event, you may be looking for a venue within a reasonable distance from most attendees’ homes or places of work. If many attendees will be traveling from out of town, a venue near the airport or their hotels will be beneficial. Other than that, making sure that the venue location is suitable for the event you are organizing. Because you surely do not want to have a big event in a small venue.

Size of Event Space

As mentioned above, finding a suitable event hall for your event is important. Because organizing an event with a huge number of people in a small space will cause overcrowding. When choosing your event venue, it’s always better to overestimate your capacity needs than underestimate them. But bear in mind that organizing it in a huge venue space with an average number of people will also make the event feel empty and boring. So the size of the venue must be just right! Most venues should have capacity limits for all their rooms/halls. Hence, make sure to aim it slightly lower than the capacity limits to avoid overcrowding.

Services & Amenities of Event Hall

After getting the right venue, it is also important to take into consideration the services and amenities that the venue offers. Equipment that is provided by the venue is important. Do they provide tables, chairs, AV capabilities and etc? As if your prospective venues offer them, it’s best to try to work out a packaged deal that may save you money in the long run.

In Metal Bees, you don’t need to open accounts at various rental houses and arrange for costly deliveries and returns. We make your life easier. Just send us the list of equipment you need and we will give you a quote for the event hall rental cost.

Date & Time

For your information, if you set up the wrong date and time for your event, you will most likely ruin your own event. Why is it so important? Well, before you set the date and time for your event, make sure to check the calendar for significant events around the time you are planning. Because if you and your competitor set up an event on the same date and time, it is either you win or you lose. Major events are always planned out months to a year in advance. Once you begin shortlisting venues, availability needs to be high on your priority list. Some venues will have their most desired dates booked 2-3 years in advance and as of 2020 postponements and cancellations have increased demand for popular dates.

Thus, you have to take the date and time into consideration especially when it comes to wedding venue. Be realistic when it comes to dates, the more flexible you can be, the more options you will have. No idea how to find the best wedding venue? We’ve got you covered. Check out the tips here!

Ambiance

Pay special attention to the existing decor inside the venue. What style is the architecture and what does the building’s interior convey? Creating an atmosphere that relates to your topic and appeals to your audience is a critical part of setting up an engaging event. If you’re holding a gala, you’ll likely need different venue accommodations than you would for an expo. The less the ambiance matches the desired feeling of your event (upscale, high tech, etc.) the more decorating you’ll need to do to make up for it. Modifying or decorating a venue is expensive, so it’s smart to choose a suitable event space that already aligns with your theme.

Parking

Parking is a deciding factor for many people. If the majority of your attendees will be driving to your event, then parking facilities are a must when searching for the right event venue. It’s also worth noting if this is chargeable, to avoid any nasty surprises when your guests turn up! If parking is limited, find out if there is on-street parking available or a nearby car park at a discounted rate. Some event coordinators provide a valet service for attendees, even if the venue doesn’t.

In a nutshell, there are quite a few numbers of considerations to choose the best event space rental. Metal Bees will always be your first choice for event space. No matter it’s wedding space rental, party space rental, looking for a suitable production house or finding the perfect photography studio, Metal Bees is always your best choice. 8 tips on finding the best wedding venue in KL & PJ

1. Wedding Theme

The wedding venue you’ve chosen will influence the theme or styling of your wedding day. Think of your wedding and venue as part of the bigger picture, and go with a venue that’s in-keeping with the theme that you want. For glittering modern big days, we recommend our studios.

2. Capacity of Wedding Venue

Size is one of the most important factors when selecting a wedding venue. The number of people a space can hold for your ideal ceremony, reception, or both will have an effect on how many people you are going to invite to share in your special day with you and your future spouse.

Service style at your reception is also something to keep in mind when it comes to size. A lot of venues have different levels of capacity based on service style. If you’re planning a cocktail style reception, the capacity is often high then if you’re planning a full seated dinner style reception.

Make sure the venue can accommodate the size of your guests. In order to avoid miscalculations, do overestimate attendees then underestimate.

3. Location of Wedding Venue

Guests are from all over the countries, to make sure everyone can attend your wedding, choosing the right venue & location is crucial. Ease and accessibility should be considered when making your decision.

Metal Bees provides VIP parking lots in front of all studios. There are ample parking lots around all studios. Besides, there is a parking space opposite Metal and Brick Studio which can accommodate about 100 vehicles.

4. Wedding Staff & Hall Amenities

Behind every good venue is a great venue manager and venue staff. There are so many little details that go into planning your wedding, and the venue staff knows this from experience.

Put your guests in awe with Rom 8 Studio’s modern minimalist designs. To keep them entertained, Rom 8 Studio provides a Full HD Laser Projector and sound system with a wireless mic. Create the perfect ambiance to set your guests in good spirits with ambient lighting and chandeliers. The industrial-looking glass façade offers an abundance of natural light too—light it up with fairy lights at night to create an intimate event to remember.

5. Wedding Photographer

Photos from your wedding are going to be with you forever, so your photographer being able to capture everything perfectly should be important.

Interior

Pay attention to the interior details of the wedding venue when you’re touring a space. Exposed brick, natural lighting or light display are going to be details you will want to be captured on your big day.

Exterior

Interesting outdoor décor can make for some jaw-dropping photos and will feel totally authentic to your wedding day and the city you’re getting married in. Don’t be afraid of a little weather, sometimes a few raindrops while you’re under an umbrella can really take a picture to the next level.

6. Savvy spending

Budget is a key factor for most couples when considering which venue to book. Weddings can be very expensive, especially if you don’t do the proper budget planning. Before you put down any money for deposits, it’s worth chatting to the in-house coordinator for the best rate.

7. Venue Availability for your wedding date

It’s perfectly normal for couples to book their chosen wedding venue 12–18 months before their wedding date, giving them plenty of time to plan their perfect day. Once you begin shortlisting venues, availability needs to be high on your priority list. Some venues will have their most desired dates booked 2–3 years in advance due to consistently high demand. Be realistic when it comes to dates—the more flexible you can be, the more options you will have. Weekday weddings are certainly becoming more and more popular, and we love the appeal.

8. Vendor restrictions

Ask if your venue has a “preferred” list of vendors or if you can use any vendor you like. If you must use preferred vendors, ask if there is a discount. Similarly, ask if there is a fee for choosing vendors outside the venue’s vetted list. If there is a particular vendor you have your eye on, you’ll want to know if you can hire them to work for your wedding at the venue you choose.

Conclusion

With these 8 tips to choose the best wedding venue, we hope it helps you find the perfect event venue. Other than wedding hall rental, wedding halls from Metal Bees allow you the flexibility to bring in your preferred caterer and vendor, with no additional fees for using your own. 12 Top Wedding Planning Tips

1. Consider hiring a wedding planner

If you’re expecting to have a large budget for your wedding, consider hiring a full-time wedding planner. Your wedding planner will help you make a budget, looking for wedding venue vendors, and keep you on schedule.

  • If you’re worried about budget concerns, consider hiring a part-time coordinator to help with wedding details or a day-of coordinator to help at the wedding.
  • If you don’t want to hire a planner, find a comprehensive wedding checklist online to help you stay organized.

2. Create a realistic budget

Weddings can be very expensive, especially if you don’t do the proper budget planning. For example, some people overspend because they invited more people than they could afford. Do thorough research by using online wedding calculators and talking to venue vendors to make sure you stay within your budget. Budget considerations include:

  • How much to spend on wedding venue
  • The number of guests you and your fiancé(e) will invite
  • How much to spend on invitations
  • How much to spend on bridal wear and grooms wear
  • How much to spend on pre-wedding photography
  • How much to spend on flowers (including the bride’s bouquet and groom’s boutonniere)
  • Where the wedding ceremony and reception will take place and how much to spend
  • How much to spend on the meal and/or wedding cake
  • Whether or not to hire a professional photographer on the wedding day
  • How much to spend on entertainment
  • How much to spend on the honeymoon

3. Select your wedding date.

There may be some back and forth as you reach out to must-attend family and friends to hash out dates that work for everyone. But weekends for popular venues fill up fast, so decide as early as possible. If you’re planning a weekday wedding (a good option when your budget is tight), you’ll have more wiggle room.

4. Select a theme.

Whether it’s specific wedding colours, seasonal or style inspiration, or an actual theme, sometimes it’s helpful to choose a concept to design your wedding around and sourcing for suitable wedding venue. Once you have an aesthetic in mind, it’s easier to make design decisions, and generally, everything looks more cohesive.

5. Create a guest list.

The number of people you invite to your wedding will affect the kinds of venues you can use. Therefore, you need to create a guest list as soon as possible. Keep in mind that you may need to reduce the number of people you’re inviting if you can’t find a venue within your budget. When choosing people for your guest list, ask yourself:

  • Is this person a member of my family?
  • Have I spoken to this person within the last year?
  • Do I want children at my wedding?
  • Do I want animals at my wedding?
  • Will this person be offended if I don’t invite them?

6. Reserve a wedding venue

Popular and affordable wedding venues can fill up months in advance. Therefore, as soon as you have a tentative guest count, you need to go find a place to get married. Visit several different locations to find the right place for your wedding. While you’re looking, consider:

  • What time of day is the wedding? Does the venue look nice at that time?
  • What are the facilities in the venue?
  • Is this venue big enough for my entire guest list?
  • Does this venue require a deposit? Can I afford it?

7. Research vendors.

How many vendors you need to hire for your wedding depends on a variety of factors, including style and location. All-inclusive wedding venues will manage most of the vendors if you want them to, but you’ll have to meet to discuss style and specific choices. If you have a wedding planner, they’ll also do most of the research based on your preferred style. If you’re planning the wedding yourself, vendors you’ll likely consider include:

  • Musician for the ceremony
  • DJ/band for the reception
  • Photographer
  • Videographer
  • Production House
  • Catering service
  • Hair/makeup
  • Florist
  • Decorator

8. Figure out what you’re going to wear.

It’s your wedding, so the best ensemble is the one you feel best in. There’s no right or wrong option. Perhaps you’ll wear jeans and a casual jacket. You might go with a bow-tie. Maybe you’re going to honour your cultural heritage with a traditional look. Just make your selection early so you have time to get everything altered if you need to.

9. Choose your wedding invitations.

Consider picking out your formal invitations while your save-the-dates are top of mind. Talk to a printing shop or go online to find wedding invitation services. Include the date and time, RSVP information, the ceremony location (if separate from the reception,) and the dress code. Some people also like to include their registry information.

  • Most people send out invitations six to eight weeks before the wedding.
  • If your wedding is more than six months away, consider sending a “Save the Date” announcement instead. Send out the invitations closer to your wedding date.

10. Help out-of-town guests with accommodations.

For weddings where many guests are traveling from out of town, it’s traditional to help them find places to stay. Here are some tips to make it easier:

  • Talk to local family and friends about their ability and interest in hosting guests they know. Only suggest this option to people who love having (or being) houseguests.
  • Book a block of hotel rooms near, or at, the venue. Though you are reserving the room block.
  • Book rooms at multiple hotels if you are having a large wedding, or options are limited in the area.
  • Book rooms early, especially if your wedding is on-season in a popular vacation area.

11. Touch base with the wedding team.

Check-in with all of the key people in your wedding. Talk to the wedding planner to see if there are any final details they need from you. Reach out to the venue and vendor teams so you know they’re all set. Give a call to family members and the wedding party to make sure everyone feels comfortable with the itinerary. And finally, prioritize a few relaxed evenings with each other before the wedding.

12. Start the festivities and enjoy!

You know what to do from here. Congratulations!

How to Choose a Venue for Product Launch

Location

You’ve probably already considered this. The venue location is one of the most important parts of planning an event, especially for wedding venues. A good venue should have public transport, and a parking space nearby.

Blank Space / Clean Space

A blank canvas venue / clean space offers endless opportunities for branding. It’s free of distinctive embellishments and decorated in neutral colour tones. This allows you to decorate the space with your brand. Project onto the walls, use removable stickers or simply allow the props and products you bring into the to “pop” against the neutral background.

Natural Light

Natural light is a must for daytime events and for pre-event photography shoots. The more natural light the better! Natural light is said to increase productivity, energy levels, comfort, calmness, and health. It’s true – when you’re exposed to natural light, you can feel the difference! No one can deny the appeal of natural light in architecture and design. A room or even the complete venue takes on a whole different feel when natural light is involved. Being able to see the sunshine streaming in through huge glass windows or doors will give your event an otherworldly atmosphere that guests will appreciate and enjoy.

Ability to Black Out

Whether your event is held during the day or evening, in order to optimise for projection and production elements, a venue should be able to block natural daylight or any external light.

Car / Vehicle Accessible

If you are planning for a car launch, car accessibility to a venue is crucial. Metal Bees studios are car accessible photography studios. Metal Bees studios allow cars to be driven into a venue as a display.
